Simpplr One Upgrade Process Expectations
During your upgrade
On the scheduled day and time of your upgrade, we will turn your Simpplr Classic platform into maintenance mode. We will keep your Simpplr Classic platform in maintenance mode until we have upgraded you to Simpplr One, reconnected applicable integrations and verified with you that you are ready to cutover to Simpplr One. We expect this to take around 14 hours in total.
If users try to log in or access your intranet via desktop or mobile during the upgrade, they will see a screen that says “The platform is temporarily under maintenance”.
Once in maintenance mode, we will begin moving all your data into Simpplr One.
Any scheduled newsletters, surveys, daily/weekly emails, and any other scheduled jobs will be paused and will be triggered post-migration.
We will be conducting multiple QA checks throughout the process to ensure your upgrade is seamless.
If necessary, we may make the decision to keep you in Simpplr Classic, and will inform you via email. We will join the scheduled cutover call as scheduled and re-enable Simpplr Classic. Your users will be able to continue work in the existing intranet as they were before. We will schedule another upgrade time that works for you.
We expect this to be a very rare occurrence but rest assured we are ready to support you should anything go wrong.
If we find a minor issue that occurs from the upgrade that does not impact your user experience or the integrity of your data, we will move forward with the cutover to Simpplr One and fix this issue within 24-48 hours.
Once our upgrade process is complete, we will get on our pre-scheduled cut over call with you and your team. During this call we will review the outcome of the upgrade, set up your applicable integrations including SSO, user provisioning, and people data syncing. We will ensure you can log in and run though our cutover checklist. We expect the call to take around 2 hours to complete.
Once we are set, we will lift maintenance mode and you will send a communication to your company announcing the upgrade and the new url to use.
After your upgrade
Your company will use the new URL for Simpplr One to log in via the web and will use the same credentials (SSO or user name and password) as they had before. Below is the login screen they will see which will have your logo and your login options configured.
Everyone will be able to use the existing mobile app. The experience is the same for Android and Apple.
Mobile users need to be on at least our 24.11 version for the upgrade to be seamless. If they are not updated to that version, there may be some performance issues or they may see your Simpplr Classic platform.
If users were not logged in or were not on the latest version, they will log in using their same credentials.
Mobile users who are on the latest version of the mobile app and were logged in when the upgrade started, will see the screen below. When they click restart, they will be in Simpplr One and do not need to log-in again.
All internal links within Simpplr will be updated to the new Simpplr One url.
If they click on a link to Simpplr Classic from an external location like a bookmark, or a link within a file, they will be prompted to log in to Simpplr Classic, then will be redirected to Simpplr One where they need to login if they have not, and be redirected to that exact page in Simpplr One. They will be signed out and need to sign in again depending on your session timeout setting. The user will see the below message, prompting them to redirect to your new intranet and be informed that they are clicking on an outdated link that they should update.
This redirect will be in place while Simpplr Classic is still available. We will turn off Simpplr Classic 60 days after the upgrade. This will allow users to make changes to any external links. At this time, any Simpplr Classic links in emails, slack messages, internal documents, bookmarks, etc. will no longer be redirected.
The users you have selected to continue to have access to Simpplr Classic post upgrade will be able to access Simpplr Classic and will not be redirected. The intranet will be in read-only mode so they cannot make any changes. After the upgrade, Newsletter, Employee Listening, Recognition, Analytics and Native Video data will not be available in Simpplr Classic. All other data will still be available.
