Overview

The File view and download analytics feature, or file analytics, is a powerful addition that brings visibility into how files are being consumed across your platform. This feature provides actionable insights into file-level engagement at each file level.

Why did we build this?

Until now, file engagement was largely invisible, making it hard for content owners to assess the value or relevance of shared documents. We built File view and download analytics to address this gap, giving users the transparency they need to:

  • Identify outdated or unused content

  • Support compliance and audit needs

  • Make data-informed content decisions

Users previously had no visibility into how files were being used, making it hard to measure content effectiveness or ensure critical documents were seen. This led to:

  • Unused or outdated files cluttering libraries

  • No feedback on important file engagement

  • Challenges with compliance tracking

This feature solves those gaps by bringing clear, actionable insights into file views and downloads.

What metrics are tracked?

Users with appropriate permissions can view the file analytics at each file type:

  • Track File Views: See how many times a file has been viewed

  • Track File Downloads: See how many times a file has been downloaded

  • View Analytics Over Time: Understand trends in file engagement with date filters

  • Filter by Audience: See analytics for site members, followers, other audiences

  • Export Reports: Download analytics reports for further analysis or compliance

Supported file types

The file analytics feature supports all natively uploaded, internal file types. It is not applicable to any external files from services like Google Drive, SharePoint, Box, etc. In other words, files connected to your intranet via a 3rd party integration will not have analytics tracked in Simpplr. 

Who can see file analytics?

Access to file analytics respects the platform’s role-based access controls. 

  • Metrics for any intranet files (files uploaded in global feed) can be seen by: App managers, the file author (original uploader), and analytics managers
  • Metrics for any file within a site or attached to a content can be seen by: File author (original uploader), site manager, site owner, users with manage sites role, and analytics managers

How can I access file analytics?

File analytics can be accessed:

  • Directly from the file preview screen

  • Within the site files listing screen
