How do I add new users?

If your org is using a people data system like Active Directory, Google, or Workday or Okta, your users will be added via the connection with that system. 

However, Application managers and those granted with the right permissions can also manually add new users to Simpplr one at a time or in bulk via CSV file. To add one user at a time:

  1. From your user menu, go to Manage > Users.
  2. Click Add or remove in the top right. Then choose either Add user or Add, update or remove multiple users.

  3. From here, if adding a single user, fill out your user's personal info. Note, you must complete each tab in order before proceeding. 
  4. The email used must be unique for each new user added. 
  5. Once all the personal info is added, click Next.

  6. Enter the user's home address if needed, including city, state, country and zip code. This information isn't required, but will help with Audience creation later on. 
  7. Finally, in the Work info tab, enter the applicable work information. This information helps further categorize the user, for example in the org chart. The only required selection here is the user role. This will determine what permissions the user is given when they log in to their profile. By default your org offers two roles to choose from, Application manager and End user.  
  8. Finally, choose whether or not to send a registration email to the user. This email will prompt them to log in and create a password, confirming their registration.

  9. Unchecking this box will not send the user a registration link, and the user will be marked as "Pending activation". In order for the user to become active, they will need to log in via the email. Best practice here is to send welcome messages to new users at the same time when bulk creating, or at the time of creation for individual users. More on this below.

Sending welcome messages

As stated above, when adding users individually, we recommend clicking the Send welcome message? option so they receive the link immediately. Users won't be counted as "Active" on the platform until they log in for the first time.

Note:

Pending users will not count toward analytics until they've activated their profiles; nor will they be added as site members to mandatory sites until they've logged in.

User status in Simpplr

There are several statuses users can fall into within the application. The graph below will help explain whether users are taking up a license, included in People directories, and more based on their Simpplr status.

    • Active - User has been provisioned and is activated after completing their first time login

      • SSO users are active by default when they are provisioned through just-in-time

      • SSO users are active by default when Deskless workers is disabled

      • Non-SSO users are in pending activation status by default and turn active post first-time login

    • Pending activation - User has been provisioned but hasn't been activated yet. Note that App managers will not be able to log in as or take any action on Pending users until the user(s) logs in for the first time. 

      • If deskless is disabled, non-SSO users can be in pending activation status

      • If deskless is enabled, all users (SSO and non-SSO) will be in pending activation status

    • Inactive - User has been deactivated and is no longer active. User won't be able to login

    • Freeze - User is on long leave (ex: maternity). User won't be able to login

    • Suspended - User has exhausted recovery login tries. User won't be able to login. (Non-deskless flow only)
